Immédiate superior of the executive assistantDirector of Operations, while ensuring collaboration with the Director of Major Gifts and Planned Giving

KEY FUNCTIONS of the Administrative assistant

  • Support senior management in the management and governance of the organization, including the preparation of budgets;
  • Attend meetings and take notes of meetings to prepare minutes;
  • Assist in establishing and coordinating administrative policies and procedures for the Director of Operations, the Director of Major Gifts and Planned Giving, committees and the Board of Directors;
  • Prepare the agenda, minutes and other documents for committee, Board and other meetings, and make arrangements for these meetings;
  • Greet visitors and handle all internal communications (e-mail, telephone, mail, etc.). Ensure order and cleanliness in the reception area;
  • Ensure administrative follow-up of files (calls, correspondence, filing of documents, updates);
  • Manage the DonorPerfect database and produce receipts (in collaboration);
  • Manage accounts receivable and payable (billing and accounts payable);
  • Manage petty cash;
  • Manage the recognition program;
  • Take care of all other administrative tasks.

TECHNICAL KNOWLEDGE

  • Perfect command of English and French (spoken and written);
  • Strong commitment to quality verbal and written communication;
  • Proven customer service skills;
  • Excellent knowledge of Word, Excel and PowerPoint;
  • Experience with Boards of Directors;
  • Knowledge of DonorPerfect or ProDon, Simply Accounting (Sage 50) an asset.

  • Excellent organizational skills, meticulous, rigorous and autonomous;
  • Ability to manage several files simultaneously and meet deadlines;
  • Ability to make quick and structured decisions;
  • Appropriate diploma and a minimum of 3 to 5 years experience;
  • Recognized training in accounting, an asset;
  • Available some evenings.

Position: Full-time

Salary: Based on experience
